8–12 weeks before

  • Decide whether bakery items are the main dessert, a supplement to cake, or a guest favour.
  • Estimate guest count and confirm the venue’s food policies.
  • Collect inspiration photos and dessert table preferences.

4–8 weeks before

  • Shortlist menu categories: cakes, pastries, breads, coffee, tea, or catering boxes.
  • Ask about seasonal availability and what travels well.
  • Confirm who will pick up, receive, store, and display the items.

1–3 weeks before

  • Finalize quantities with a buffer for guest count changes.
  • Confirm pickup or delivery details if available.
  • Share timing, address, contact person, and any dietary notes.

Final week

  • Reconfirm the order, timing, and contact information.
  • Prepare signage, serving pieces, and table layout.
  • Make sure the venue knows when and where items will arrive.
